Business Systems Manager – Job Description

Reports to: IT Manager

Purpose of Job: To take ownership of the firm’s business systems, which include Eclipse Proclaim PMS, iManage Worksite DMS, Intapp Time Cloud and Qlik business intelligence software.

Main Activities:

  • Deliver IT solutions that provide competitive advantage to support the growth of the business in a way that satisfies our clients’ needs.
  • Pro-actively contribute to the continuous improvement of technology/business processes through identifying opportunities for improvement and implementing changes.
  • Conduct market research to outline new system solutions that will improve current and future business capability.
  • Participate in the formulation and development of the firm’s IT strategy.
  • Work with heads of departments and the Head of Risk and Compliance to implement relevant regulatory and legislative changes in a timely fashion.
  • Undertake workflow/application development.
  • Plan and oversee the release of upgrades and enhancements to systems.
  • Take responsibility for the firm’s core business systems, including administration, maintenance and development.
  • Working closely with our two experienced developers, provide supervision and support as required, including agreeing their objectives and carrying our performance reviews, and ensuring deadlines and service standards are achieved and maintained.
  • Develop, monitor and manage SLA’s.
  • Maintain and develop relationships with external partners.
  • Develop excellent working relationships with all departments within the business.
  • Comply and uphold the firm’s policies and procedures, such as health and safety, IT, security, email and anti-virus policies and equality and fair treatment.
  • Be flexible to carry out any other reasonable task as requested within the office environment.


  • Experience of working in a similar role in a law firm.
  • An analytical mind-set with an ability to manage risks and issues through requirements elicitation and management.
  • Judgement to balance commercial and compliance risks to achieve positive outcomes.
  • Ability to deal with confidential matters with discretion and tact.
  • Maintains the highest professional standards to ensure the firm is not in a position of risk.
  • Ability to build supportive relationships with everyone across the firm.
  • Excellent communication and management skills, with an ability to influence at all levels.
  • Excellent organisational skills.
  • Able to multi-task, manage time effectively and keep calm under pressure.
  • Works collaboratively with partners and Management Committee.
  • Makes commercial business decisions and is resilient in the face of resistance.
